How to use this time card calculator

Enter your clock-in and clock-out time for each day you worked, and the total minutes of unpaid break time. The calculator instantly subtracts breaks, totals your hours for the week in both hours:minutes and decimal hours, splits regular time from overtime, and — if you enter your hourly rate — estimates your gross pay before taxes.

Overnight shifts are handled automatically: if your clock-out time is earlier than your clock-in time (say, 10:00 PM to 6:00 AM), the calculator assumes the shift crossed midnight.

How overtime is calculated

Under the federal Fair Labor Standards Act (FLSA), non-exempt employees earn overtime at 1.5 times their regular rate for hours worked beyond 40 in a workweek. That is this calculator's default. Some states go further — California, for example, also requires daily overtime after 8 hours in a single day (and double time after 12). Tick the "Daily OT over 8h" box to apply the daily rule; daily overtime is counted first, then any remaining hours over your weekly threshold.

Minutes to decimal hours conversion

Payroll systems use decimal hours, not minutes. To convert, divide minutes by 60: 15 minutes = 0.25, 30 minutes = 0.50, 45 minutes = 0.75. So 38 hours 45 minutes is 38.75 decimal hours. The calculator shows both formats so you can check your pay stub either way.

Worked example

Maria works Monday to Friday, 8:30 AM to 5:00 PM, with a 30-minute unpaid lunch. Each day is 8.5 hours minus 0.5 = 8 hours, giving a 40-hour week. On Saturday she picks up a 6-hour shift with no break. Her total is 46 hours: 40 regular + 6 overtime. At $18.00/hour her gross pay is 40 × $18.00 + 6 × $27.00 = $882.00.
